Manage players, teams and captains

Build your player list, invite players to link their accounts, put players on teams, and choose captains and substitute rules.

The names and results shown are made up (the Maple Street Pool League is a demo organization).

Your organization has one player list, used by every league, team and tournament. Teams are made from it on Rosters. Here the Maple Street Pool League adds players and builds its Tuesday 8-ball teams.

The player list

Open Players. The page has four tabs: List, Add a player, Import (CSV) and Invitations.

On List, search by name, and use Show to see, for example, Players who can’t sign in or Invitation pending. Choose a player's name to open their card. Inactive players stay on the list with their history.

Add a player

  1. Open the Add a player tab.
  2. Enter the First name. Last name, Email (optional) and Phone (optional) help too.
  3. If you know a rating from another league, choose it under Known rating (optional). It sets the player's starting LeagueOrbit rating.
  4. Choose Add player.

Email and phone are only visible to people who manage players.

Import players from a spreadsheet

  1. Save your spreadsheet as a CSV file. The first row names the columns: first_name is required, and you can add last_name, email, phone, rating and status.
  2. Open Import (CSV), choose the file and choose Preview import.
  3. Check the preview. A row whose email matches a player updates that player. A row with the same name as a player and no email is listed as a possible duplicate and skipped.
  4. Choose Apply import.

Nothing is saved until you apply.

An invitation code links a player's sign-in to their entry on your list, so they see their own team, matches and standings on My league.

  1. On List, choose Invite on the player's row.
  2. Share it: Copy link, Copy code, Email invitation or Download QR code.
  3. The player signs in and opens the link, or goes to /claim and types the code.

A code works once and expires in 14 days. It is shown only once: if it is lost, create a new one. A player who signs in with the email on your list also sees the invitation under Invitations for you and chooses Join. See Create an account and join a league for the player's side.

Rosters also lists team members who can't see the league yet, with Invite next to each one, and a button to invite everyone listed who has an email.

Create teams and add players

Open Rosters and choose the division in the division bar.

  1. On the Teams tab, enter a New team name, like Corner Pocket, and choose Create team.
  2. Choose the team in Team. Its roster opens.
  3. Under Add a player, find a player on the list, then choose Add to team.
  4. Not on the list? Open Not on the player list? Add a new player, fill in the name, and choose Add to the player list and this team.

Each player has Remove and Transfer to team. Their past results stay with the team they played for. Removed players are kept under Former players. You can rename a team at any time with Save name; it keeps its schedule, results and history.

You can also tick several players on Players and choose Add to a team.

Import teams from a spreadsheet

  1. On Rosters, open the Import tab.
  2. Use a CSV file with the columns team, first_name, last_name, email and captain. Put yes in the captain column for each team's captain.
  3. Choose the file, or paste the CSV text. To add people who aren't on your player list yet, tick Add players not on the list.
  4. Choose Preview import. Errors are listed first.
  5. When the preview has no errors, choose Apply import. Everything is saved at once.

Download teams (CSV) gives you the current teams as a spreadsheet.

Choose a captain

On the team's roster, choose the player in Captain and choose Save captain. A captain must be an active player on the team. To remove the captain from the team, choose a new captain first.

Captains can ask to reschedule matches (see Handle reschedules, early play and forfeits). To let captains add players to their own team from My league, open Schedule & standings, then Match format & scoresheet, and tick Captains can add players to their own team. You can find the players they add on Players with Show set to Added by a captain.

Substitutes

In the same place, under Substitutes, captains and play dates, choose who can play as a substitute:

Give a reason and choose Save these choices. A substitute shows as "(sub)" on the match sheet.
