Handle reschedules, early play and forfeits

Set the rules for moving a match, approve captains' requests, let teams play a match early or late, and record forfeits.

The names and results shown are made up (the Maple Street Pool League is a demo organization).

Matches don't always happen on the scheduled night. LeagueOrbit gives you three tools: reschedule requests from captains, playing a match early or late, and forfeits.

Set the reschedule rules

Open Reschedules and choose the division. Under Rules for this division:

  1. Tick Captains can ask to reschedule in the app.
  2. Set Notice needed (hours before the match). Requests close this many hours before the match.
  3. Set New date within (days of the original).
  4. Under After the other captain agrees, choose The league operator approves, or The change is made right away.
  5. Optionally set Most reschedules per team this season. Leave it empty for no limit.
  6. Choose Save rules.

How a captain asks

The captain opens My league and chooses Ask to reschedule on an upcoming match. They pick a New date, an optional time and an optional reason, and choose Send request.

The other captain then sees the request and chooses Accept or Decline. The captain who asked can Withdraw it while it's open. A request that isn't answered before the match expires.

Approve or reject a request

When the rules say the league operator approves, accepted requests wait under Requests on Reschedules as Waiting for your approval.

If the match has a table and that table is taken at the new time, or the time isn't one of the play times, change it on Tables & times first, then approve again. If you play on one of the two teams, another staff member must decide.

Let teams play a match early or late

Sometimes two teams simply agree to play on another day. You choose whether that's allowed.

  1. Open Schedule & standings, then Match format & scoresheet.
  2. Under Substitutes, captains and play dates, set Playing a match on another day. Choose Players can play their match early or late, or Only on the scheduled day, where other days go through a reschedule request.
  3. Give a reason and choose Save these choices.

When early or late play is allowed, a player on either team chooses Play this match now on My league, then Open now. The match sheet opens and both teams can score it that day. The match stays on its scheduled date until it's played, it counts in its own round, and its sheet shows the day it was actually played.

Forfeit rules

Set what a forfeit scores before the season starts. On Match format & scoresheet, under Forfeits:

  1. Enter the Score for the team that showed. Leave it empty to type the score each time.
  2. Enter the Score for the team that forfeits.
  3. Tick Count a forfeit as a win and a loss in the standings if forfeits should count that way.
  4. Give a reason and choose Save forfeit rules.

Changing these rules recalculates the whole season's standings, including the public page. Saved results keep their scores.

Record a forfeit

Open Schedule & results and find the match. Next to the score boxes, change Played to the team that didn't show or left the match. For a no-show, the forfeit scores fill in by themselves. Choose Save.

To charge a forfeit fee, set it on Dues under Charges. See Track dues and record payments.
