Add entrants and check them in

Add entrants by hand, from a list or from your leagues, link them to players, seed them, and run check-in on the day.

The names and results shown are made up (the Maple Street Pool League is a demo organization).

Here the director of the Maple Street Fall Cup fills the field and checks players in as they arrive. Everything happens on the tournament's Entrants step.

Add entrants one at a time

  1. Open the tournament and choose Entrants.
  2. Under Add entrants, fill in a row for each entrant: Name, Rating and Rating type.
  3. Choose Add 10 more rows if you need more.
  4. Choose Add these entrants.

The rating type can be your own number (0 to 3000) or a rating or skill level from another league system (the list shows which ones). Each row shows Seeds as and the number that seeding will use: other systems' levels are converted by LeagueOrbit's chart.

Each entrant becomes a player record they can claim later. Tick Guest (no player record) for anyone who shouldn't get one.

Paste a list

  1. Open Paste a list instead.
  2. Put one entrant per line: the name, then an optional rating after a comma. For example, "Ann Able, 520".
  3. Choose Add these as rows, check the rows, then choose Add these entrants.

The rating type you pick in Rating type for new rows applies to every pasted line.

Add from your leagues and player list

Open Add from your leagues and player list to bring in people you already have. Under Add from, choose:

Choose Which list, then Show the list. Tick the people you want and choose Add the ticked entrants. Entrants added this way are already linked to your player list. If they don't all fit, you can raise the capacity right there.

In a singles tournament, an entrant who isn't on your player list shows Not rated (not on your player list). Their matches don't change anyone's rating until they're linked.

For doubles, Scotch doubles and teams, use Edit to pick each player in the entry.

Ratings and seeding

Seeding follows the Seeding setting in Setup:

To change an entrant's rating, choose Edit, change the Rating and choose Save entrant. In a singles tournament, Fill ratings from LeagueOrbit copies in the LeagueOrbit ratings of entrants linked to your player list, before the draw.

Check players in

When Check-in required before the draw is ticked in Setup, only checked-in entrants go into the draw.

The Entrants step lists who hasn't checked in yet, by name, under Not checked in yet. When enough are in, choose Go to Bracket to make the draw. Anyone not checked in is left out of the draw, and the draw preview names them.

Let players check themselves in

Players who registered online can check themselves in on the tournament's date, before the draw.

  1. Under Registration on the Entrants step, tick Players may check themselves in (when check-in is required, on the tournament's date).
  2. Optionally, open Entry requirements, rating range, check-in cutoff and questions and set Self check-in closes at. After that time, staff check them in. The cutoff comes with the Organizer plan.
  3. Choose Save registration settings.

On the day, a player opens the tournament's public page while signed in and chooses Check in. To help them find it, make a public link on the Share step and choose Print as a check-in sign. See Let players register online for registration itself.

Withdrawals and no-shows

It's fine to link entrants after their matches are played. The ratings are worked out again. If the tournament is already archived, restore it first from Setup, link the entrants, then archive it again.
