Add staff, set roles and keep your details up to date
Invite people to help run your organization, choose what each one can do, and manage your league information and venues.
The names and results shown are made up (the Maple Street Pool League is a demo organization).
You don't have to run the league alone. On the Staff page (under Setup) you invite helpers and give each one a role.
Only the organization's owner sees the Staff page.
The roles
- Operator runs everything: teams, schedule, results, handicaps, players, league information and payment options. Operators also add and rename leagues, sessions and divisions.
- Scorekeeper enters results and player matches.
- Viewer can look but not change anything.
- Treasurer keeps the money book and dues (income, expenses, payouts, payments) without league setup, scheduling or scoring.
A role covers every league, session and division, including ones you add later. Changes apply within a few seconds.
Invite a staff member
- Open Staff.
- Under Invite staff, choose the Role.
- Choose Create staff invitation.
- Share it: Copy link, Copy code, Email invitation or Download QR code. Choose Done when you've finished.
The person signs in (or creates a sign-in), then opens the link, scans the QR code, or enters the code at /claim. The invitation works once and expires in 14 days. It's shown only once, so share it before you choose Done.
For example, the owner of Maple Street Pool League invites Dana Lee as Treasurer so she can keep the money book.
Change someone's role
People in this organization lists everyone with their role.
- On the person's row, choose a new role from the list.
- Choose Set role, then Confirm role.
Choosing No staff role takes away their staff role but keeps them in the organization. A role replaces what the person could do before, except custom access (such as managing one team), which stays as it is.
Remove someone
- On the person's row, choose Remove.
- Choose Confirm removal.
They lose access at once.
The owner
The owner is shown as Owner in the list. The owner's row has no role or remove buttons, and the owner is the only one who sees the Staff page and manages staff.
Staff changes, at the bottom, records every change: when, who made it, what changed, for whom, and the reason.
League information
League information (under Setup) holds the contact details and information players see.
- Choose the league, and the Competition (league or tournament).
- Under Edit, write a Title and the Information, then choose Save information draft. Saving doesn't change what players see yet.
- Optional: add a link under Reference draft with a Reference ID, Reference label and Destination URL (starting with https://), then Save reference draft. A new or edited link is off until you choose Enable in draft.
- Under Saved draft review, read it over and tick I reviewed this saved draft and its enabled references.
- Choose Make reviewed draft current for members.
Current private member information shows what members see now. Remove current member information takes it down.
The Public page tab makes a public page link (with a short code and QR code) for flyers and the venue. See List your league so players can find it.
Venues
Venues (under Setup) lists the places your leagues and tournaments play.
- Under Add a venue, fill in the Venue name, address, phone, email and website. The Organizer contact is private: only operators and the owner see it.
- Choose Add venue.
- Open the venue to add tables: Add a table (or Add several for a range of numbers), set each one's label, size, make and status, then Save tables.
Use Edit details and Save details to change a venue. Archive hides a venue you no longer use; Restore brings it back. An archived venue can be removed with Remove venue.
Tournaments and divisions copy a venue's tables, so later changes here never move a running event. You can also bring in many venues or tables at once under Import from a spreadsheet (a CSV file). Nothing is saved until you check the preview and choose Apply import.
Only operators and the owner can change venues; other staff can view them.
