Set up a season and its schedule
Create a league, session and division, set the night and dates, choose the match format, and publish a round-robin schedule.
The names and results shown are made up (the Maple Street Pool League is a demo organization).
In LeagueOrbit a league has sessions, and each session has divisions. In the Maple Street Pool League, the league Maple Street 8-ball has a session called Fall 2026, and that session has a division called Tuesday 8-ball. Teams, the schedule and the standings belong to a division.
You can change every name later. Archiving keeps all the history and stops changes; nothing is deleted.
Add a league
- Open Leagues & divisions (in the Setup part of the menu).
- Choose Add a league.
- Fill in League name, First session and First division, then choose Add league.
Each league has a Manage league menu, and each session has Manage session. Use them to rename, archive or restore, to add a session (Add a session) or a division (Add a division), or to start a new session from an old one with Copy to a new session. When you copy, you choose what comes along: Teams and their players, Settings and Schedule. Results always start fresh.
Set up a division with the guided setup
The quickest way to get a division ready is the guided setup. On Leagues & divisions, choose Set up a division (guided). It walks you through these steps:
- Where: choose the league and session, and give the division a name, like Tuesday 8-ball.
- Night and dates: the time zone, Play night, Start time, First night of play and How often (every week or every two weeks). Holidays are skipped for you. Add any other nights off with Add a night off.
- Players: tick players from your player list, or add new ones with Add a new player.
- Teams: name the teams with Add a team, then choose each player's team and tick each team's captain.
- Match format: choose a Format, the Game and the Race.
- Schedule: choose a single or double round robin. You see a preview of every round, with dates.
- Review and finish: check everything, then choose Finish and create.
Nothing is created until you finish. Choose Save and close to stop and come back later: your unfinished setups are listed on Leagues & divisions under Your unfinished setups for 30 days.
A division's settings
Every division on Leagues & divisions has a Settings button. It lists each part of the division, such as Night & dates, Match format & scoresheet, Tables & times and Schedule, with what is set now. Choose a part to open the page where you change it.
Most of these parts live on Schedule & standings. Choose the division in the division bar at the top, then use the sections: Standings, Schedule & results, Calendar, Tables & times and Match format & scoresheet.
Set the night and dates
Open Schedule & standings and choose Calendar.
- Set the Time zone, Play night, Start time, First date and How often, then choose Save calendar settings.
- Under Holidays, Skip holidays automatically is ticked. The date planner moves a round off a holiday to the next play night.
- To play on a holiday anyway, tick Play on that holiday, then choose Save holidays. That choice applies every year.
- Under Blackout dates, add any other night off or closure: enter the Date and What it is, then choose Add blackout date.
Choose the match format and scoresheet
Open Match format & scoresheet. The format is used whenever a match sheet is opened.
- In Start from, choose a preset. For a simple format, set the Game, Race and Team points.
- To set up every game of the night yourself, choose A new format, game by game (builder). You can edit the games as a Scoresheet or as a List, and Preview of the night shows how the night will run.
- Enter a Reason and choose Save format.
A match sheet keeps the format it was opened with, so a change never alters a match already played. The same section also holds Player scoring, Match clocks, Forfeits and Substitutes, captains and play dates. See Score your league night match sheet for how scoring works on the night.
Tables and times
Open Tables & times.
- Under Tables and play times, choose Load tables from a venue, or Add a table for each table. Add the times matches start with Add a time. Choose Save tables and times.
- Under Preferences, note what each team prefers: table size, preferred times, or dates they can't play. Only league operators see preferences.
- Under Make a plan, enter the From round and To round and choose Preview. Choose Shuffle again for a different plan, or Save this plan to keep it.
- Under Assignments, use Change to fix a single match, and Print for a paper copy.
Publish the schedule
Open Schedule & results. Under Publish a schedule:
- Tick the teams in Teams in the schedule.
- Choose the Format: a single, double, triple or four round robins. In a single round robin every team plays every other team once.
- Tick Set round dates now to use the play night and first date from the calendar.
- Choose Publish schedule.
A schedule can be published again only while no results have been entered.
If you published without dates, or the dates need to move, go to Calendar, enter Plan from round under Plan dates and choose Preview dates. Check the plan, give a reason, and choose Apply these dates. Rounds that already have results or a match sheet keep their dates.
Change the schedule later
You can change the schedule at any time, even after results are in. Under Change the schedule, choose what to do in Change:
- Move a match to another round or Set a round's date, for example after a rained-out night.
- Swap the two teams' order, Replace a team in a match, Add a match or Remove a match.
- Rebuild the schedule from a round, for example when a team joins or leaves. Only rounds from that one on are remade, and none of them may have a result or a match sheet.
- Add another round robin at the end.
Every change needs a Reason and is kept under Changes made. Choose Apply change. Played results are never lost: to swap, replace or remove a match that already has a result, clear its result first.
